AI instructions and memory

AI instructions and memory
AI Instructions and Memory both guide Njord AI, but they serve different people. Instructions are shared rules for the workspace. Memory is private context that belongs only to you.

Image guide: AI Instructions is marked Workspace and can be edited by an Admin or Client admin.

Image guide: Memory is marked Only you and is updated by asking Njord AI.
Where it sits in DOE: Our company > Context, in the side column.
Write a workspace instruction
Use Instructions for a rule Njord AI should follow across work in this company.
- Choose Add instructions, or the pencil when instructions already exist.
- Write the rule in plain language.
- Say what Njord AI should do, not only what it should avoid.
- Save, then read it once as a teammate would.
Good instructions are short and durable. For example: use the full company name on first mention; do not invent customer names or prices; prefer the approved product spelling.
Do not paste a full guide into Instructions. Put source material in Knowledge and keep only the standing rule here.
Know what belongs where
| Need | Best place |
|---|---|
| A rule for everyone working in this workspace | AI Instructions |
| A confirmed company claim | Facts |
| A document Njord AI should search or cite | Knowledge |
| A personal preference or reminder | Memory |
Saving an empty instruction clears the current instruction. If the text becomes difficult to scan, shorten it and move the background material to Knowledge.
Use private Memory
Memory is visible only to you. Update it in a Njord AI conversation by asking Njord AI to remember, list, change or forget something. The Context page shows Memory but does not edit it directly.
Do not put passwords, secrets or another person's private information in Memory or Instructions. Workspace Instructions can be read by other members.
If you cannot edit
An Admin or Client admin can change workspace Instructions. Other members can read them. If the pencil is missing, ask an admin to update the rule. Memory remains personal and is changed through your own Njord AI conversation.
